Backing Up Microsoft 365: Choose The Right Recovery Approach

Microsoft 365 keeps your team’s email, files and shared information available for everyday work. Your business should also define how that information will be recovered after accidental deletion, malicious changes or another customer-side data incident.

Microsoft’S Advice: Plan For Recovery

Microsoft’s guidance asks organisations to consider their recovery scenarios and assess whether a current or proposed backup tool meets their operational goals. Service availability, long-term retention and recovery from customer-side data loss address different needs.

The guidance discusses Microsoft and partner backup options. It does not mean that every third-party product is endorsed by Microsoft or that one tool fits every business.

You Can Use A Suitable Third-Party Backup Tool

T Strategy can assess other backup tools for Microsoft 365 against your requirements. The solution does not have to be Microsoft’s own backup product. Confirm supported services, permissions, storage locations, security, retention and restoration capabilities before selecting a tool.

Questions To Ask Before Choosing A Solution

  • What must be protected? Identify required Exchange Online mailboxes, OneDrive files, SharePoint sites and any other workloads. Do not assume every Microsoft 365 service or Teams data type is included.
  • Which incidents must it address? Consider deleted content, unwanted changes, compromised accounts and ransomware-related disruption.
  • How far back must you recover? Agree backup frequency, retention and the recovery points your business needs.
  • Where are copies stored and protected? Review data location, access controls, encryption and available protection against deletion or alteration.
  • Who monitors and restores? Assign responsibility for failures, restore approval and checking recovered information.
  • Can recovery be demonstrated? Test representative restores, including the required content, permissions and practical recovery time.

Start With The Requirement, Then Select The Tool

Review existing retention and recovery settings alongside the proposed backup arrangement. T Strategy can help define the coverage, implementation, monitoring responsibilities and restore tests around a suitable solution.
